Schedule and repeat meetings

Plan meetings ahead, make them repeat, and send invitations.

Schedule a meeting

  1. Select Schedule on Home, or Schedule a meeting on Upcoming.
  2. Give it a Title, then choose the Date, Start time, Duration and Time zone.
  3. To make it repeat, choose an option under Repeat. Custom covers anything else, such as every other week or the last Friday of each month.
  4. Under Invite people, add email addresses if you like.
  5. With Google Calendar connected, leave Add to my Google Calendar and send invitations on (see below).
  6. Under Security, choose whether it needs a passcode, has a waiting room and lets guests in.
  7. Under When people join, choose whether people join muted, can join before you, and whether AI notes start automatically (once your meetings allow AI notes; see AI notes).
  8. Select Save.

Then copy the link or invitation, or add the meeting to Google Calendar, Outlook or any calendar app.

Send invitations from Google Calendar

Connect Google Calendar once, and FaceOn puts the meetings you schedule on it. Google emails each person you invite a real invitation they can accept from Gmail, Outlook or Apple Mail.

  1. Go to Settings, then Calendar, and select Connect Google Calendar. You can also connect from the schedule form.
  2. Sign in to Google with the account that uses your FaceOn email, and allow FaceOn to manage the events it makes.
  3. When you schedule a meeting, Add to my Google Calendar and send invitations is on. Turn it off for a meeting you'd rather share yourself.

When you change or delete the meeting in FaceOn, Google updates everyone's calendar and lets them know. Changing one meeting of a repeating series changes just that day; changing This and following meetings ends the series there and starts a new one, as Google Calendar does.

If Google Calendar couldn't be updated, the meeting is still saved: select Retry. If Google asks you to Reconnect, do it from the message or from Settings, then Calendar. FaceOn only touches the events it makes.

Find your meetings

Upcoming lists the next eight weeks of meetings you host or are invited to. Switch to the calendar to see a month or a week. Times show in your time zone, which you can change in Settings.

Change or delete a meeting

Open the meeting from Upcoming and select Edit or Delete. For a repeating meeting, choose what to change:

  • This meeting only,
  • This and following meetings, or
  • All meetings in the series.
